CHEA EXHIBITS & AFFILIATES COORDINATOR
JOB DESCRIPTION

The Exhibits & Affiliates Coordinator is responsible for managing and coordinating vendors, exhibitors, and sponsors for CHEA events, in addition to managing CHEA’s affiliate programs. This is a part-time position that will take about 10 hours per week during most of the year, but there will be more hours required shortly before and during conferences. We are looking for someone with a friendly and professional personality. This person should have strong communication skills and administrative abilities.

We consider our affiliates and sponsors to be ministry partners. As such we truly care about the vendors that we work with. We seek to put together packages that will not just bring in revenue for CHEA, but will work together for our common good.

RESPONSIBILITIES:

  • Develop and maintain relationships with possible affiliates
  • Communicate with interested affiliates to make a proposed benefits/commitments for CHEA and Affiliate
    • Submit proposal to GM for approval
    • Once approved, maintain documentation system on Google Drive
  • Monthly, check all current Affiliates for any new offers to advertise
  • Collect needed info, graphics, etc. of promotional materials
  • Work with editor to schedule promotions in the Connection and maintain on the Editorial Calendar
  • Maintain database of sponsors and exhibitors, past and present, on Google Drive
  • Communicate opportunities to sponsor and/or exhibit at various CHEA events to those in the database
  • Collect information from exhibitors and sponsors and distribute to appropriate department (i.e. ads for program, descriptions and link for website, etc.)
  • Develop new relationships with organizations that would be a good fit for CHEA events
  • Work with Events Manager to sell and assign exhibit space for events
  • “Run” the Exhibit Hall at events by: 
    • Checking exhibitors in and out
    • Set up system for exhibitors to load in and out and communicate it to them
    • Being on hand to answer questions
    • Making sure procedures are followed by all exhibitors
    • Help resolve any issues that arise in the Exhibit Hall during the event
  • Participate in bi-monthly staff meetings (via Zoom and/or in person)
